Professional contract and SOW templates for client engagements.

Quick Start

Generate documents automatically with client name in filename:

cd /path/to/VRV-Tools
./scripts/vrv_manager.sh /path/to/client-repo document sow "Client Name" "Project Name"
./scripts/vrv_manager.sh /path/to/client-repo document mini-sow "Client Name" "Project Name"
./scripts/vrv_manager.sh /path/to/client-repo document contract "Client Name" "Project Name"
./scripts/vrv_manager.sh /path/to/client-repo document intake "Client Name" "Project Name"

This will:

  • Create the document in Admin/Clients/[Client Name]/ directory
  • Auto-fill client name, project name, and dates
  • Use safe filename: SOW_client_name_2025-10-14.md
  • Provide next steps for completing and generating PDF

Option 2: Manual Process

  1. Copy template to working location
  2. Fill in variables using SOW_VARIABLES.md reference
  3. Generate PDF with VRV branding:
    ./scripts/vrv_manager.sh /path/to/client-repo pdf "path/to/filled.md" "Document Title"
    

Important Notes

When to Use Mini-SOW vs Full SOW

Use Mini-SOW for:

  • ✅ Standard website projects under $10,000
  • ✅ Clear, straightforward scope (4-6 week timeline)
  • ✅ Existing clients with master agreement on file
  • ✅ Fast turnaround needed
  • ✅ Limited custom features or integrations

Use Full SOW for:

  • Complex projects over $10,000
  • Custom applications or integrations
  • New clients (need complete legal terms)
  • Multiple phases or unclear scope
  • High-risk or high-value projects

The Mini-SOW is one page and references your master services agreement, making it perfect for repeat clients and standard web projects.

DO NOT Commit Filled Templates

  • Filled templates contain sensitive client data
  • Use naming convention: *_filled.md, *_draft.md, *_FINAL.md
  • These patterns are gitignored automatically

Ownership Tiers

Both SOW and CONTRACT include two service options:

Option A: Full Ownership Package

  • Client pays one-time fee (``)
  • Receives full source code ownership
  • Manages hosting/updates independently
  • Best for: Technical clients, agencies, DIY preference

Option B: Managed Services

  • VRV retains code ownership
  • Client receives usage license
  • Monthly support fee (``)
  • Best for: Hands-off clients, recurring revenue

Best Practices

  1. Always use templates - Don’t create contracts from scratch
  2. Review variables - Check SOW_VARIABLES.md before starting
  3. Save drafts locally - Don’t store in git with client data
  4. Generate professional PDFs - Use VRV branding system
  5. Get legal review - Have attorney review any modifications
